Photofusion Fees Policy

Effective Date: 1st May 2025

1. Purpose

This policy outlines the principles and procedures governing the setting, collection, and review of fees for services, programmes, and facilities offered by Photofusion. It ensures transparency, fairness, and consistency in our approach to charging for our activities.

2. Scope

This policy applies to all individuals and organisations who access paid services provided by Photofusion, including but not limited to:

- Memberships

- Workshops and courses

- Studio and darkroom hire

- Exhibitions and event space hire

- Consultancy and professional services

3. Guiding Principles

Photofusion operates as a not-for-profit charitable organisation committed to supporting inclusive access to the arts. Our fees are guided by the following principles:

- Affordability: We strive to keep costs as low as possible while covering operational expenses.

- Equity: We offer concession rates to ensure access for underrepresented and disadvantaged communities.

- Transparency: All fees are published clearly on our website and at the point of booking.

- Sustainability: Fees are set at a level that contributes to the long-term financial health of the organisation.

4. Fee Categories and Concessions

Fees are determined based on the type of service, resource use, and duration. Concessions are available for[JG1] :

- Students

- Seniors (aged 60+)

- People on low income or receiving benefits

- Charitable organisations and community groups (at our discretion)

Proof of eligibility may be requested.

5. Payment Terms

- Fees must be paid in full prior to accessing services, unless otherwise agreed in writing.

- For longer-term programmes or hire agreements, payment plans may be offered.

- Payment methods include credit/debit card, bank transfer, or online payment through our website.

6. Refunds and Cancellations

- A Refunds and Cancellations policy will be made clear at the time of booking the particular service.

7. Annual Review

Fees are reviewed annually by the Photofusion Management Team and Board of Trustees. Adjustments may be made based on inflation, operational costs, and demand. Changes will be communicated with at least 30 days’ notice.

8. Disputes and Appeals

If there is a disagreement regarding fees or charges, individuals may submit a written appeal to the Director. Appeals will be reviewed within 14 working days. Email Jenni@photofusion.org.
